Fees FAQ — Pathshala fee management questions

Quick answers to the questions institutes ask most about fees in Pathshala. Each answer links to the full guide.

#Setting up

What do I need before I can bill? Classes, a current academic year, fee heads, a fee structure for the class, and at least one payment method. See the Quickstart.

Can different classes pay different fees? Yes. Each class has its own amount for each fee head. See Fee heads and structures.

Can I bill quarterly or in my own instalments? Yes. Set a collection plan per class — Monthly, Quarterly, Half-yearly, Yearly or your own dates, up to 24 instalments a year.

How are late fees charged? Each head can carry a late fee and a grace period. It is added when an invoice is generated after the due date plus the grace. You can waive or change it on a single student's invoice.

Can I charge something only to some students? Use Activities (Pro) — for sports, music, transport or hostel. Fee heads in a class's structure are billed to every student of the class.

#Billing and collecting

Are invoices made every month by themselves? No. You press Generate on Invoices, for one student or a class. See Raise invoices.

What if I bill a student twice for the same month? Pathshala refuses and shows the existing bill.

Can a parent pay part of the fee? Yes — any amount up to the balance. See Collect a fee.

Can I take an advance for next month? Not on this month's bill — a payment cannot be more than the balance. Generate the next bill (or instalment) first and take the payment on it.

Can my staff collect fees on their phone? Yes, in the MJX Teacher app, if their job allows it.

#Receipts

What do receipt numbers look like? RCP-26-00001, counting up within each calendar year. See Receipts.

Is a signature or seal printed on the receipt? No. The receipt states that it is computer-generated and does not need a signature.

Can I resend a receipt? Yes — Payments › View › Send again on WhatsApp.

#Reminders

Are reminders sent automatically? No. You pick families on Fee Reminders and press Send reminders. See Fee reminders.

What does the parent receive? A WhatsApp message with the amount and due date (or days overdue) and a View and Pay button.

Do WhatsApp messages cost extra? Yes. Receipts, invoices and reminders on WhatsApp are billed as WhatsApp usage.

#Online payments and parent claims

Which gateways can we use for fees? Your own Razorpay or PhonePe account, on Fees Pro. The money goes to your account. See Online payments.

What if a parent pays by UPI directly? They report it with the reference; it waits in Parent Payments until you confirm it. Only then is it a payment with a receipt. See Parent payments.

#Discounts, cheques and refunds

Is there an automatic sibling discount? No. Make a Sibling Discount type and give it to the second child. See Discounts and concessions.

What happens when a cheque bounces? Mark it Bounced with a reason; the bill reopens and the money leaves your totals. See Cheques.

Does a refund send money back through the gateway? No. Pathshala records the refund; you return the money yourself. See Refunds and cancellations.

Cancel or refund — which one? Cancel a payment recorded by mistake; Refund when money is really given back.
