Best practices for running HR and staff attendance
A simple daily, weekly and monthly routine for HR and staff attendance in a small office, shop, clinic or institute using MJX People.
Good HR in a small organisation is a routine, not a project. These habits come from how MJX People is built.
#Set it up right, once
- Add everyone on People, with Joined on — letters, anniversaries and part-year leave need it.
- Set Leave policy days for every kind of leave you give. Leave a box empty only if you truly give none on record.
- Set Who reports to whom so leave goes to the right manager, not to the owner.
- Add this year's Holidays, including festival dates for your state.
- Add your logo in Settings — it goes on every letter.
- Set the Email for fraud reports and BGV on Letter verification.
- Give the HR job to the person who runs HR, instead of making them an admin.
#Every day
- Open Staff attendance. Look at who has not checked in. Leave the register to the phones — mark only those who could not.
- Answer leave waiting under Your team's leave.
- Answer Corrections — a quick yes keeps the register true.
#Every week
- Clear Requests from staff in the HR portal — letters first, they are often for a bank or a visa.
- Check the Punch log for "outside office" check-ins that need a word.
- Post any notice in Announcements, with Show until so it takes itself down.
- On the HR home (Pro), work through Awaiting your action until it says you are all caught up.
#Every month
- Before payroll, make sure the month on Staff attendance has no unmarked days for people who were at work — with loss of pay on, absent days cost pay.
- Download the month for your records.
- Check Assets — give items to joiners and take back from leavers.
#When someone joins
- Add them on People (or they come in from MJX Hire with their documents).
- Start their Onboarding checklist.
- Issue the Appointment letter.
- Put them on the right shift and match their machine number or card.
- Ask them to install the MJX People app.
#When someone leaves
- Accept the resignation on Exits, and agree the last working day.
- Take back everything on Assets.
- Issue the Relieving letter and Experience certificate.
- On or after the last day, press Switch off the login. Never delete — the record stays.
#Privacy, by design
- Location is taken only at the press of Check in or Check out.
- Selfies are deleted after 30 days; there is no face recognition.
- Fingerprints never leave the machine.
- Only the last 4 Aadhaar digits come from DigiLocker.
Tell your staff this when you switch these on — it builds trust.
#Questions people ask
How often should I check the staff register?
Every working day, a short look in the morning. With phone check-in and the "not checked in" message, it takes a minute.
Should I mark staff myself if they check in on the phone?
Only when needed. Your mark stands over theirs for the day, so mark only people who could not check in, and use corrections for past days.
What should I set up first?
People with joining dates, leave days, who reports to whom, and the holiday list. The HR portal's Set up HR card lists them.
