Payroll troubleshooting

#Plan and lock messages

Message	What it means	What to do
🔒 "… comes with MJX Payroll Pro." (Arrears, Advances, Reimbursements, Leave encashment, Statutory filing files, Form 16 Part B)	The feature is not on your plan. You can read the screen; nothing is saved.	Upgrade from Subscription & Billing. See plans.
🔒 "The month on one screen, and the bank-transfer sheet, come with MJX Payroll Basic and above." (Register, Bank sheet, bank details on a person)	Your plan is Forever Free. You can read the screen; the downloads and saving are off.	Upgrade to Basic or Pro from Subscription & Billing.
"Sending payslips on WhatsApp and email comes with MJX Payroll Basic and above."	Your plan cannot send payslips.	Upgrade, or let people download from My payslips.
"Income tax is not on your MJX Payroll plan."	Automatic income tax needs Basic or above.	Upgrade, or type each person's TDS on Filing.
"Cut pay from the attendance register 🔒 — MJX Attendance Pro"	Loss of pay from the register needs MJX Attendance Pro.	Add MJX Attendance Pro, or use unpaid leave docking only.

#Who-can messages

Message	What to do
"Only an owner can see what an owner or an admin is paid." (also "set", "change", "remove")	Only the owner can handle owner and admin salaries. Ask the owner.
"Only an owner or an admin can open payroll." / "… run payroll." / "… change a salary."	Ask the owner to give you the right payroll permission in Roles & permissions. See roles and managers.
"Only the owner can reset a tax regime choice."	Ask the owner. Each person can be reset once a year.
"You can see … — changing them is not part of your job here."	You hold a read-only permission such as Payroll Reports.
"This organisation asks for two people: whoever prepares a pay run cannot approve it. Ask the owner, or another admin, to approve this month."	Somebody else approves, or change Who can approve a pay run on Pay runs.

#Pay run messages

Message	What it means	What to do
"Nobody on this list has a salary yet, so there is nothing to pay."	No one has a salary for this month.	Set salaries on Payroll.
"There is nobody to pay for …"	The same, when you try to approve.	Set salaries first.
"That pay run is not a draft any more. Refresh the page to see where it is."	Somebody else moved it at the same time.	Refresh the page.
"This month still has N payslips out. Withdraw them on the Payslips screen first …"	You pressed Open this month again with payslips issued.	Withdraw each payslip on Payslips, then reopen.
"Only a month waiting to be paid can be opened again."	A paid month cannot go back.	Correct the next month instead (for example with Arrears).
"A pay run cannot be recorded as paid on a day that has not happened yet."	The pay date is in the future.	Record the payment on or after the day you paid.
"Choose how the salaries were paid." / "Pick the day the salaries were paid."	A field is empty in Record the payment.	Fill in How you paid and The day you paid.
"Say what needs fixing, so the month can be corrected."	You pressed Send it back without a reason.	Type the reason.

#Payslip messages

Message	What to do
"That payslip has already been withdrawn."	Refresh. Issue the month again if needed.
"That payslip has been withdrawn, so it cannot be sent."	Issue the month again, then send.
"✗ WhatsApp not sent: …" / "– Email not sent: …" on a payslip card	Read the reason. Check the person's mobile and email on their login, then press `Send again`.
"Something has changed since this was issued — worked out today it would be ₹…"	A salary or leave changed after issue. If the new figure is right, `Withdraw` and issue again.
"N people have no salary written down yet and are not counted above."	Set their salary on Payroll.

#Income tax messages

Message	What to do
"Please confirm — the choice cannot be changed this year."	Tick I understand the choice is fixed for this financial year. and press Confirm.
"Proofs can be uploaded from … to …"	The proof window is closed. The office can change the dates on Income tax.
"Choose what this proof is for." / "Choose a file first."	Fill in the proof form fully. Files are PDF, JPEG or PNG, up to 5 MB.
"Your date of birth is not on file, so the working assumes you are under 60."	Ask the office to add the date of birth.
"MJX holds no income-tax rules for …, so no working can be shown."	The year's rules are not loaded yet. Tell MJX support.

#PF, ESI and filing problems

Symptom	Cause	Fix
PF works out to zero	"No line on any salary is ticked yet."	Tick Counts towards PF on the Basic / DA lines.
Top earners pay no professional tax	The last PT band has an upper figure.	Leave the last band's upper figure empty.
"… PF but no UAN, so they are not in the file"	No UAN saved.	Add it under Filing › Each person's numbers.
"No ESIC IP number, so not in the sheet"	No IP number saved.	Add it under Each person's numbers.
"N payslips are not issued yet, so not in the file"	Files use issued payslips only.	Issue the month first.
"No PAN saved … — Form 24Q needs it."	No PAN saved.	Add it under Each person's numbers.
"Account numbers cannot be stored on this server yet." (Where salaries go)	The server's encryption key is not set up.	Tell MJX support. Other screens still work.

#A payslip PDF will not open

If Put a password on each person's payslip PDF is on, the password is the first 5 letters of the PAN in capitals plus the day and month of birth (for example ABCDE0712). Somebody with no PAN or no date of birth on file gets an unlocked payslip.

#Questions people ask

Why can I not approve my own pay run?

Your organisation uses "Two people — whoever prepares it cannot approve it". Ask the owner or another admin to approve it, or change the setting on Pay runs.

Why did an employee not get their payslip on WhatsApp?

Sending goes to the mobile and email on their login, and needs MJX Payroll Basic or above. The payslip card shows why it was not sent; press Send again after fixing it.

Why does the Payroll menu not show for a staff member?

Payroll opens for owners and admins, and for anyone given a payroll permission in Roles & permissions. Other staff see only My payslips.
